Members & roles

Sales

Every workspace has a team, and every member has a role that decides what they can do. This page covers the three roles, who can do what, and how to change roles or remove someone.

You'll find your team under Teams in the sidebar (the members list). From the same place you can group people into Pods to assign them together as hosts on an event, and remind teammates who haven't connected a calendar to set one up.

The three roles

There are three roles, from most to least access:

RoleWho it's for
OwnerThe person who runs the workspace — full control, including billing and deleting the workspace.
AdminA trusted teammate who helps run the workspace day to day.
MemberSomeone who takes bookings and works the pipeline.

A workspace can have more than one Owner, but it must always have at least one.

What each role can do

Each role can do everything the role below it can, plus more.

¹ Admins can invite, remove, and change the roles of Members only. They can't act on other Admins or Owners, and they can't promote anyone to Owner.

Billing is Owner-only

Only an Owner can buy seats, change the plan, update the card, or cancel. If an Admin runs out of seats while inviting, they'll see a prompt to ask the Owner to add seats. See Inviting & seats and Billing & subscription.

Changing roles

Owners and Admins change a teammate's role from the members list.

Open Teams

Click Teams in the sidebar.

Open the member's menu

Click the menu on their row.

Pick a new role

Under Change role, choose Make admin, Make member, or — if you're an Owner — Make owner.

A few rules keep things safe:

  • You can't change your own role.
  • Admins can't touch Owners, and can't promote anyone to Owner — only an Owner can hand out (or take back) the Owner role.
  • The workspace's last Owner can't be demoted. To step down, promote someone else to Owner first, then change your own — or have another Owner do it.

Transferring ownership works the same way: promote a teammate to Owner with Make owner, then the existing Owner can be set to Admin or Member.

Removing members

From the same menu on a member's row, choose Remove member. To leave a workspace yourself, the menu shows Leave workspace instead.

What to know:

  • An Admin can only remove Members — not other Admins or Owners.
  • You can't remove the last Owner. If you're the only Owner, transfer ownership before leaving.
  • Removing someone frees up their seat right away, so you can invite a replacement at no extra cost. It does not lower your paid seat count on its own — see Buying & reducing seats.
  • Their account and login aren't deleted — they simply lose access to this workspace. Their past bookings and the data they created stay in the workspace.
