Reminders
SalesMarketing NewNo-shows are rarely a decision. Someone books in a keen moment, the day fills up, and the meeting quietly falls off their radar. One reminder a day ahead helps. A short nudge fifteen minutes before, when they are already at their desk, helps far more.
Preb lets you set up to five reminders per event type, each with its own timing and its own channels. A typical sequence looks like this:
| When | Channel | Why |
|---|---|---|
| 1 day before | Time to move things around if they must. | |
| 2 hours before | Email + text | Lands while the day is already in motion. |
| 15 minutes before | Text | The one that actually gets them in the room. |
Setting them up
- Open the event type and go to Notifications.
- Make sure Reminders is switched on.
- Use Add reminder and pick a timing — 1 week, 2 days, 1 day, 2 hours, 1 hour, 30 minutes, 15 minutes, or at the start of the meeting. Choose Custom time to type your own.
- On each row, choose the channels: Email, SMS, or both.
- Save.
The list always reads top to bottom toward the meeting, so the sequence is obvious at a glance. Change a timing and the row moves to its place in the order once you leave the field.
Each row shows its timing in whichever unit fits best. Type 24 in an hours field and it will settle as "1 day" — the same moment, written the way you would say it.
Rules worth knowing
- Five reminders maximum, and no two may share the same timing.
- Every reminder needs at least one channel. A row with neither email nor SMS ticked can't be saved.
- Reminders can run up to 30 days ahead of the meeting.
- A reminder whose moment has already passed is skipped. If someone books a meeting that starts in an hour, the 1-day reminder never fires; the 15-minute one still does.
- Cancelled meetings get nothing. Rescheduling a meeting starts the sequence fresh against the new time.
Text reminders
The SMS chip on a row is only active once Text message notifications and its Reminder text are switched on further down the same screen, and texts also need a paid plan, a phone field on your booking form, and the invitee's opt-in. Everything about how texts work, what they cost, and how consent is collected is covered in Text message notifications.
Reminder texts are location-aware: the invitee gets the actual join link, the address, or a note that you will call — whichever applies to that meeting.
What the invitee sees
Reminder emails carry the meeting title, the time in the invitee's own time zone, the location or join link, and buttons to reschedule or cancel. The subject line names the timing, so a sequence reads naturally rather than repeating itself: "is tomorrow", then "starts in 2 hours", then "starts in 15 minutes".
Emails and texts go out in the language the invitee booked in.
Turning reminders off
The switch at the top of the Reminders card stops every reminder email for that event type at once, without deleting your sequence — turn it back on and the same timings resume. To stop only texts, switch off Reminder text in the text-message section, or untick the SMS chip on individual rows.
