Managing bookings

Sales

The Bookings screen is the home for every call on your workspace's calendar — upcoming, past, and cancelled. From here you can search for a specific booking, review its details, and jump to follow-up actions like rescheduling or recording an outcome.

The Bookings screen

Open Bookings from the sidebar to see your calls in a single list, sorted by time.

What you see depends on your role:

  • Owners and admins see every booking in the workspace.
  • Members see only the calls they personally host.

Each row shows, at a glance:

ColumnWhat it shows
WhenThe day and start time, in your timezone
EventWhich event type the call was booked through
AttendeeThe main guest's name and email (a link to their contact record)
HostWho's running the call — with a You badge if it's you, and a +N badge when there are co-hosts
StatusConfirmed, Pending, Cancelled, Rejected, or No-show
OutcomeThe recorded result of a past call, or an Outcome needed prompt

The menu at the end of each row holds the quick actions: Reschedule, Manage hosts, Cancel, Mark as no-show, and Copy attendee email.

Upcoming / Past / Cancelled

Three tabs across the top split the list by where each call sits in its lifecycle:

  • Upcoming — confirmed calls that haven't happened yet, sorted soonest-first.
  • Past — calls whose start time has already passed (including ones marked no-show), most recent first.
  • Cancelled — calls that were called off, most recent first.

The list shows up to 100 bookings at a time, so use the tabs and filters below to narrow things down.

A filter bar sits above the list (on a phone, tap Filters to open it). Combine any of these to find what you need:

  • Attendee — type a name or email to search. This matches the guest's name or email address only — not their company or any notes.
  • Event type — show only calls booked through a specific event type.
  • Campaign — if you tag your booking links with campaigns, filter to one of them. (This option only appears once you have campaign-tagged bookings.)
  • From / To — limit the list to a date range.

A counter shows how many filters are active, and a Clear button resets them in one click.

No host filter

There isn't a separate "host" filter — the list is already scoped to what your role can see. Members only ever see their own calls; owners and admins see everyone's.

Booking details

Click any row to slide open the booking details panel. It pulls everything about that call into one place:

  • Time — full date, start and end time, duration, and timezone.
  • Attendees — every guest, with the main contact marked Primary and a link to view their contact record.
  • Location — the meeting link (Google Meet, Microsoft Teams, Zoom, or Zoho Meeting), phone number, in-person address, or custom link, depending on how the event type is set up and which location the invitee chose.
  • Notes & responses — anything the guest filled in on the booking form.
  • Where the booking came from — the traffic source and campaign details, if the link was tracked.
  • Booking info — when it was booked, a copyable booking ID, and (for rescheduled calls) a link back to the original.

For past calls, the panel also shows the Call outcome section at the top — either a form to record the result, or a read-only summary once you've logged one. See Recording call outcomes.

The 'Outcome needed' filter

When a call is over, Preb expects you to log how it went. Any past call without a recorded result shows an amber Outcome needed badge in the Outcome column — click it to jump straight to the outcome form.

To work through them in a batch, open the Past tab and turn on the Outcome needed toggle in the filter bar. The list narrows to only the past calls still waiting on a result, so you can clear them one by one.

Why it matters

Recording outcomes keeps your funnel reporting accurate and — for sales calls that close — sends the revenue back to your ad platforms so you can see which campaigns actually drive deals. The outcomes page covers the details.
