Contacts overview

Sales

Every person who interacts with your booking forms becomes a contact in Preb. Global Data is where you work them — one hub with five tabs that all look at the same data from a different angle.

The Global Data hub

Open Global Data from the sidebar. Across the top you'll find five tabs:

TabWhat it shows
ContactsEveryone in your workspace — the full pipeline as a table.
SettingThe appointment-setting queue: leads with no live booking yet, waiting to be worked (see Appointment Setting).
CallsEvery booking as a table row — upcoming and past, with outcomes.
DealsAll recorded revenue, plus the payments ledger.
PipelinesYour contacts as drag-and-drop Kanban boards.

Each tab remembers where you left it for the rest of your visit — your search, filters, and selected view are still there when you switch away and back.

The four table tabs share the same controls: a search box, quick filters, an advanced filter panel, a Columns menu, Export, and saved Smart Views in the left rail. Learn one tab and you know them all.

What is a contact

A contact is one person, identified by their email address. Each contact holds:

  • Their name, email, and phone number — plus an optional secondary email and secondary phone.
  • A scheduling status that Preb sets automatically as they move through your funnel (see Statuses & stages).
  • A stage in your manual pipeline that you control.
  • Their owners — an assigned setter and the closer who hosted their latest call (see Managing contacts).
  • Any custom fields your workspace has defined.
  • A history of everything they've done — bookings, calls, deals, and notes.
  • Where they came from (the campaign or ad click that brought them in).

Email is the unique key: Preb keeps one contact per email address per workspace, so the same person booking twice doesn't create a duplicate.

How contacts are created

Most contacts appear automatically. A contact is created the moment someone fills in the first step of one of your booking forms:

  • As soon as a visitor completes Step 1 of your booking form — their name and email — they show up here, even if they never pick a time slot. That means you capture leads who started but didn't finish.
  • If they come back and book, the booking is attached to the same contact.
  • If they fix a typo in their email on the same visit, Preb updates the existing lead rather than creating a second one.

You can also add someone by hand. Click Add contact on the Contacts tab, enter at least an email (name, phones, and a starting stage are optional), and they join the pipeline like any other lead. Any team member can do this.

Duplicate emails are blocked

If you try to add an email that already exists in the workspace, Preb tells you instead of creating a duplicate. If two records for the same person do sneak in — say one with a typo — an admin can merge them.

The Contacts table

The Contacts tab shows your whole pipeline as a table. The contact's name and email are pinned as the first column; everything else is up to you — the Columns menu lets you show, hide, reorder, and colour-highlight any column, including your custom fields. Out of the box you'll see things like:

ColumnWhat it shows
Scheduling statusWhere they are in the booking funnel.
StageTheir manual pipeline stage.
Setter / CloserWho owns the lead and who hosted their latest call.
RevenueThe total of their deals, shown per currency.
CallsHow many discovery and strategy calls they've had.
AddedWhen they entered your funnel.

Cells with a pencil icon can be edited right in the table — hover a cell, click the pencil, change the value. That works for the stage, the setter, and every custom field, without opening the contact.

The list loads 50 contacts at a time — use Load more at the bottom to keep going. The newest contacts appear first, and the refresh button re-pulls the list without losing your place.

Finding people

  • Search — type a name, email, or phone number.
  • Status rail — the left rail filters to Potential, Qualified, Disqualified, Discovery booked, or Strategy booked in one click.
  • Stage and date filters — narrow to a pipeline stage or a date range in the top bar.
  • Advanced filters — the Filters panel combines any fields with and/or logic; see Smart Views & filters.

A filtered list is worth keeping: save it as a Smart View and it's one click away in the left rail from then on. And whatever the table currently shows is exactly what Export downloads — see Import & export.

Turn disqualified leads into an audience

Filter to Disqualified and you'll see a retargeting tip. Those contacts didn't qualify for a call, but you can still export them and build a Meta Custom Audience from the list.

The contact card

Click any contact to open their card — the full picture of one relationship. The left side has five tabs: Journey (the timeline of everything that's happened), Calls, Deals, Notes, and Tags & UTMs (the campaign and click details that brought them in). The right side keeps their contact details, status, owners, and custom fields always in view.

When you open a card from a list, previous/next arrows at the top let you walk through the same list contact by contact — handy for working a filtered segment end to end. See Managing contacts for the day-to-day work.
