When more than one person can host a meeting, Preb needs to know how to share bookings between them — and whether everyone joins each call or just one person does. That choice is the scheduling type. This page explains the options and how Preb decides who gets each booking.

Choosing a scheduling type

If your workspace has just you, there's nothing to choose — your events are simply bookable by you, and the host settings stay out of the way. The choice only appears once your workspace has more than one member.

For team events, open the Hosts screen in the event-type editor. The Assignment method dropdown is where you pick between two approaches:

  • Conversion Routing — bookings are spread across your team, one host per call. (This is a weighted round-robin, explained below.)
  • Collective — everyone you select joins every call.

A note on names

In the app, the round-robin option is labelled Conversion Routing, because it pairs with rules that send the most promising leads to your strongest closers. It's the same idea as round-robin scheduling elsewhere.

Assign a whole team at once

On the Hosts screen you can add a saved group of teammates in one click instead of ticking names one by one. See Pods (team groups).

Solo

A solo event is just an event with a single host — you. There's no scheduling type to set and no host list to manage; the meeting is bookable on your own availability. This is the default experience for a one-person workspace, and Preb keeps all the team scheduling controls hidden so you never have to think about them.

Collective

Choose Collective when every booking should include the same group of people — for example a sales rep plus a solutions engineer who always attend discovery calls together.

  • All the hosts you select are required attendees on every booking.
  • A time is only offered to the invitee if everyone is free then. In other words, Preb shows the times that work for the whole group.
  • Because all hosts attend, there's no "sharing" of bookings — each booking simply goes to the full group.

Round-robin (Conversion Routing)

Choose Conversion Routing when any one of several hosts could take the call and you want to spread the load. This is the right pick for a pool of closers or reps who each handle their own meetings.

  • A time is offered if at least one host is free — so your team's combined availability is wide.
  • When someone books, Preb assigns the call to one host.
  • You can give each host a priority of High, Medium, or Low. Higher-priority hosts are favored, so your best closers see more calls while everyone still gets a fair share.

Pair it with routing rules

Conversion Routing is the only type that unlocks the Routing screen, where you can send leads who answer your form a certain way to specific hosts — for example, enterprise-sized deals to your senior rep. See Conditional routing.

How hosts are picked

For a Collective event, there's no picking — every selected host is on the booking.

For Conversion Routing, Preb chooses the host like this:

Check routing rules first

If you've set up routing rules and the lead's answers match one, Preb narrows the choice to the hosts that rule points to.

Keep a returning lead with their owner

If the lead is already in your CRM with an assigned owner and the event opts in, the choice narrows to that person — see Returning leads. If they're not free at the chosen time, the normal pool takes over, and by default a fully-booked owner hands the calendar back to the whole team.

Fall back to the full pool

If no rule matches, every host on the event is considered.

Balance by priority and fairness

Among the eligible hosts who are free at the chosen time, Preb picks one using their High/Medium/Low priority and a fair rotation, so calls don't all pile onto one person.

A few practical notes:

  • A host with no availability schedule or no connected calendar is flagged on the Hosts screen and won't receive bookings until that's fixed. Your workspace can even require a connected calendar before anyone can be booked — see Members without a calendar.
  • For reschedules, you can choose to keep the booking with the originally assigned host rather than re-running the rotation — set on the Limits & Buffers screen.
  • The invitee normally doesn't see who they'll meet while booking; the assigned host is confirmed afterward (the confirmation reads "Your call has been assigned to…"). The exception is a returning lead pinned to their own owner, where you can name that person in the widget.
