Once contacts are flowing in, Global Data is where you do the daily work — opening a contact, keeping their details tidy, assigning owners, leaving notes, and cleaning up duplicates.

The contact card

Click a contact's name anywhere in Global Data to open their card. The left side is organised into five tabs:

  • Journey — the timeline of everything that's happened, oldest first: when they entered your funnel, every booking (created, cancelled, rescheduled), every deal, and every note.
  • Calls — their bookings as a list, with status and outcome at a glance.
  • Deals — their recorded revenue, plus the Import transactions button for historical payments.
  • Notes — the running log of the relationship.
  • Tags & UTMs — the campaign and click details that brought them in.

The right side stays put while you switch tabs: Contact info (email, phones, when they were added), Status & owners (scheduling status, stage, setter, closer), your custom fields, and their form answers from booking forms.

When you arrive from a list, previous/next arrows at the top walk you through that same list in order — filter to a segment, open the first contact, and work through the rest without going back.

Editing details

Open a contact and click Edit to update their name, phone, secondary email, and secondary phone.

The primary email can't be changed. It's the contact's unique key — the thing Preb uses to recognise the same person across bookings and payments — so it's locked. If someone gave you a second address, put it in the secondary email field; if the primary is simply wrong, add a fresh contact with the right email and merge the two.

Who can edit

Editing a contact's details is limited to workspace admins and owners. Moving stages, assigning setters, editing custom fields, and adding notes are open to every member.

Setters & closers

Every contact has two owner fields, used differently:

  • Setter — the team member responsible for getting this lead booked. You assign it by hand, and an assignment can carry an expiry: no expiry, the next 24 hours, or the next 7 days. When a timed assignment runs out, the contact simply shows as unassigned again — nothing else changes.
  • Closer — the host of the contact's latest active booking. Preb keeps this up to date automatically as calls are booked, rescheduled, reassigned, or cancelled; you don't set it by hand.

Assign a setter from the contact card (Status & owners), from the pencil edit in any table, or in bulk: tick several contacts, open Assign setter in the toolbar, pick the duration and the person. Any member can assign setters, up to 200 contacts at a time.

Adding notes

Notes are the running log of a relationship — what was said, what to follow up on, anything worth remembering. On the contact card's Notes tab, type into the box and click Add note. The note is timestamped, tagged with your name, and appears on the Journey timeline too. Any member can add notes.

Bulk actions

Tick the checkboxes on the Contacts table and a toolbar appears with three actions:

  • Set stage — move everyone you've selected to one pipeline stage. Any member.
  • Assign setter — as above. Any member.
  • Delete selected — admins and owners only, with an inline confirmation.

Each bulk action handles up to 200 contacts at a time.

Merging duplicates

Two records for the same person — usually a typo'd email, or someone who booked with a second address — can be merged into one. On the contact you want to get rid of, open the menu and choose Merge into contact…, then search for the contact to keep.

Before anything happens, Preb shows a preview of exactly what will move. On merge:

  • All bookings, deals, payments, and notes move to the kept contact.
  • Details fill gaps — the kept contact's values always win; the other contact's values fill in anything blank. Its primary email is preserved as the kept contact's secondary email when that slot is free.
  • Form answers and custom fields merge the same way — nothing on the kept contact is overwritten.
  • The duplicate is then deleted, and you land on the kept contact's card.

Merging is limited to admins and owners, and it can't be undone — the preview is worth a read before you confirm.

Deleting a contact

To remove a single contact, open them and choose Delete from the menu. To prevent accidents, you're asked to type the contact's email to confirm.

A few rules protect your data:

  • Contacts with recorded revenue can't be deleted. If a contact has any deals or payments, deletion is blocked — you'd be destroying revenue records. In a bulk delete, contacts with revenue are simply skipped.
  • Bookings survive. Deleting a contact keeps their past bookings — they're just unlinked from the contact.
  • Notes are removed along with the contact, and this can't be undone.

Deleting is limited to admins and owners.
