Connect your calendar
SalesConnecting a calendar is the single most important step in setting up Preb. It keeps your availability accurate and saves you from ever copying a booking across by hand.
Why connect a calendar
With a calendar connected, Preb does two things for you automatically:
- Blocks your busy times. Preb reads your existing events and hides any slot that would clash, so nobody can book over a meeting you already have.
- Adds bookings for you. Every new booking is written straight to your calendar, with the guest invited — no manual entry.
Without a calendar, bookings are risky
If you don't connect a calendar, Preb can't see when you're busy and may let people double-book you. We strongly recommend connecting one before you start sharing your link. Your workspace can also choose to stop booking teammates until they connect a calendar — see Members without a calendar.

Microsoft Teams links
Preb can add a Microsoft Teams join link to bookings, but only for Microsoft 365 work or school accounts. Personal accounts (Outlook.com, Hotmail, and the like) will still sync your calendar, but won't get a Teams link — use a work account for the best experience.

How two-way sync works
"Two-way" means information flows in both directions:
- Reading (your calendar → Preb). Preb checks your calendar for busy time and hides any booking slot that overlaps. If Preb can't read your calendar for some reason, it plays it safe and treats that time as busy — better to hide a slot than risk a double-booking.
- Writing (Preb → your calendar). When someone books, reschedules, or cancels, Preb makes the matching change on your calendar automatically.
Connect more than one
You can connect several calendar accounts — for example your Google and your Outlook — and Preb checks all of them for conflicts. New bookings are still written to a single calendar you choose (see below).
Choosing which calendars to use
The Calendars page shows two settings you can change any time — each one saves the moment you touch it:
- Add events to — pick the single calendar where new bookings are created. The dropdown lists every calendar across all your connected accounts, plus a Don't add bookings to a calendar option if you'd rather not write events at all. Preb sets a sensible default when you first connect.
- Check for conflicts — switch on the calendars Preb should read when deciding which slots are free; Preb hides any slot that overlaps an event on them. The calendar that receives new bookings is marked Booking destination.
Troubleshooting connections
Calendar connections can occasionally break — usually because access was revoked, a password changed, or the account sat unused for a long time. Preb makes this easy to spot and fix:
- A banner appears across the top of your dashboard: "A calendar connection has expired — your availability may be hidden from bookers," with a Reconnect calendar link.
- A badge on the Calendars page shows each connection as Active (green) or Reconnect needed (red).
- An email lets you know a reconnect is needed, with a button to do it.
To fix it, open Calendars and click Reconnect on the affected account, then approve access again. While a connection is broken, your slots may be hidden from bookers, so it's worth reconnecting promptly.
