Deals & revenue
SalesA deal is how Preb tracks money. Each one belongs to a contact, and the sum of a contact's deals is their revenue — shown across Global Data, on the contact's card, and on your Insights dashboard.
What is a deal
A deal is a single sale recorded against a contact. It holds an amount, a currency, a payment type, an optional product name, and a deal date. Revenue everywhere in Preb is added up from deals, so a deal is the thing that makes a contact "worth" something.
Deals are created four ways: recording a Sale call outcome, clicking Add deal on the Deals tab, importing a CSV of past payments, or matching an incoming Stripe payment to an open deal.
The Deals tab
Global Data → Deals lists every deal in the workspace as a table. The contact is pinned as the first column; the rest — value, total income, payment type, product, deal date, closer, and any custom deal fields — you arrange via the Columns menu. All the standard tools apply: search (by contact or product), date range, advanced filters and Smart Views, inline editing of custom fields, and CSV export.
Two amounts appear per deal, and they answer different questions:
- Value — what the deal is worth (what was agreed).
- Total income — what has actually been paid so far: the sum of the payments attached to the deal.
Admins can tick deals and delete them (up to 200 at a time). Deleting a deal doesn't delete its payments — they return to the Pending pile, so money records are never lost.
Recording a sale
The main way deals appear is by recording a call outcome of Sale on a booking. You enter the amount, currency, payment type, and (optionally) the product sold, and Preb creates a closed deal on that contact straight away.
Adding a deal by hand
For a sale that didn't come from a tracked call — a renewal, an upsell over email, a deal closed before you used Preb — click Add deal on the Deals tab:

Any member can add a deal. You can also bring in historical revenue in bulk by importing a CSV on a contact's card.
Automatic payments from Stripe
If you've connected Stripe, Preb watches for payments and records them automatically. Here's the important part: Stripe payments are recorded as transactions and matched to an open deal — they don't create new deals on their own. That keeps your revenue from being double-counted.
Preb tracks three kinds of Stripe events:
- One-time payments — recorded against the contact.
- Subscription invoices — recorded as they're paid.
- Refunds — recorded as a negative amount, so revenue stays accurate.
To match a payment to the right person, Preb looks first for a booking reference passed in the payment, then falls back to matching the buyer's email to a contact. When a payment's amount exactly matches an open deal, that deal is closed automatically.
Mismatched emails won't match
If a buyer pays with a different email than they booked with — and there's no booking reference on the payment — Preb can't tell whose payment it is. Those land in an "unmatched payments" card on your Stripe settings page so you can spot them. The fix is to make sure your checkout passes the booking reference.
The payments ledger
On the Deals tab, switch the left rail to Transactions to see every individual payment in the workspace:
- Pending — payments not yet attached to a deal (a Stripe payment that didn't auto-match, an imported row, a payment whose deal was deleted).
- Synced — payments attached to a deal, counting toward its total income.
From the ledger you can attach a pending payment to one of that contact's deals, or detach one that was matched wrongly. Payments created by recording a Sale outcome are protected — they stay with their deal. Filter by source (Stripe, CSV, and so on), date, or search, and work the Pending pile down to zero.
Payment types
Each deal is tagged with how it's being paid:
- Won — a one-time, paid-in-full sale.
- Deposit — a partial payment, with the balance to come later.
- Recurring — a subscription.
This is just a label on the deal; it doesn't change how revenue is totalled.
Revenue & currency
Preb supports ten currencies: EUR, USD, GBP, CHF, CAD, AUD, SEK, NOK, DKK, and PLN. Your workspace has a default currency (set in Settings) that's pre-selected when you record a sale.
Revenue is kept per currency
Preb does not convert between currencies. If you take payments in more than one, revenue is shown side by side — for example "€12,400 · $500" — never merged into a single converted total. This keeps the numbers honest. If you want one figure, work in one currency.
You'll see revenue totals on the Contacts table (the Revenue column), on each contact's card, and on your Insights dashboard as Total Revenue.
