Zoom
Sales NewSet Zoom as the location on an event type and Preb creates a unique Zoom meeting automatically for every booking. The link lands in the confirmation, the calendar invite, and the reminders — nobody has to create a meeting or paste a link by hand.
Each host connects their own Zoom account, once. After that, any event type that uses Zoom as its location creates the meeting on whichever host the booking is assigned to — so the host is always the real owner of the call, with their own recordings and settings. There's no shared company account and no meeting collisions when several hosts are on calls at the same time.
Adding the app
Prerequisites
- A Zoom account you can sign in to (any paid or free Zoom plan that can host meetings).
- A Preb account with access to a workspace. Any team member can connect their own Zoom — you don't need to be a workspace admin.
Connect your Zoom account
Open Account → Zoom
In Preb, go to Account → Zoom and click Connect Zoom. (Admins can also reach it from Integrations → Zoom in the Integration Hub.)
Authorize in Zoom
Zoom shows you what Preb is allowed to do — create, update, and delete meetings on your account, and read your name and email. Click Allow. You're returned to Preb with your Zoom account shown as connected.
Set Zoom as a location
Open an event type, and under Location choose Zoom. Save. From now on every booking on that event creates a Zoom meeting automatically.
One Zoom account per person
You can connect one Zoom account at a time. To switch to a different account, disconnect the current one first, then connect the new one.
Troubleshooting
| Problem | What to do |
|---|---|
| Authorization didn't finish — you clicked Allow but Preb doesn't show Zoom as connected | Make sure pop-ups aren't blocked, then try Connect Zoom again from Account → Zoom. If you were switching Zoom accounts, sign out of Zoom in that browser first so you authorize with the right account. |
| Connected, but a booking has no Zoom link | Confirm the event type's Location is set to Zoom and saved, and that the host the booking was assigned to has connected their own Zoom account. Bookings on hosts who haven't connected fall back to "link will be provided." |
| "Reconnect Zoom" appears | Your Zoom authorization expired or was revoked. Open Account → Zoom and click Connect Zoom again — future bookings are fixed automatically. |

Using the app
Once Zoom is connected, these features work automatically. Each one lists what it does, when it's useful, and what needs to be in place first.
Auto-create a meeting for every booking
- Use case: A guest books a call on a Zoom event type. Preb creates a unique Zoom meeting on the assigned host's account and puts the join link in the guest's confirmation, the host's calendar event, and the reminder emails — no manual meeting creation.
- Prerequisites: The host has connected their Zoom account, and the event type's Location is set to Zoom.
Reschedules keep the same link
- Use case: A booking is moved to a new time. The existing Zoom meeting is updated to the new time and the join link stays the same, so nobody needs a new invite.
- Prerequisites: The booking was originally created with a Zoom meeting (i.e. the host was connected at booking time).
Cancellations remove the meeting
- Use case: A booking is cancelled. Preb deletes the Zoom meeting so nothing is left behind on the host's account.
- Prerequisites: The booking has an associated Zoom meeting.
Reassignment moves the meeting to the new host
- Use case: A booking is reassigned to a different host. Preb removes the old host's meeting and creates a fresh one on the new host's account, so the meeting always belongs to whoever is actually taking the call.
- Prerequisites: The new host has connected their own Zoom account.
Team and round-robin events
- Use case: On team or round-robin event types, the meeting is created on whichever host the booking is assigned to. When you set Zoom as the location, the editor tells you if any host on the roster hasn't connected yet, so you can nudge them before real bookings come in.
- Prerequisites: Each host on the event connects their own Zoom account.
Fallback when a host isn't connected
- Use case: A booking lands on a host who hasn't connected Zoom (or whose connection expired). The booking still goes through and the calendar event is still created; the guest's confirmation shows "Zoom — link will be provided" and the host gets an email asking them to connect Zoom and send the link.
- Prerequisites: None — this is the automatic safety net. Connecting Zoom fixes it for every future booking.
Removing the app
You can remove Preb's access to your Zoom account at any time, from either side.
From Preb
Go to Account → Zoom and click Disconnect. This removes Preb's access to your Zoom account.
From your Zoom account
You can also remove the app directly in Zoom:
Open the Zoom App Marketplace
Go to marketplace.zoom.us and sign in.
Find Preb under your added apps
Click Manage → Added Apps, then find Preb.co Scheduling in the list.
Remove it
Click Remove next to Preb.co Scheduling and confirm.
What removing the app does
- Preb stops creating Zoom meetings for your future bookings. New bookings on Zoom event types fall back to "link will be provided" until you reconnect.
- Zoom meetings that were already created for upcoming bookings stay on your Zoom account — removing the app doesn't delete meetings you're already scheduled to host.
How we remove your data
When you remove the app from your Zoom account, Zoom notifies Preb immediately. On that signal, Preb deletes the data it stored for your Zoom connection — the OAuth access and refresh tokens and your Zoom user identifier — and then confirms the deletion back to Zoom's data-compliance service. We don't store your Zoom meetings, recordings, or contacts; the only Zoom data Preb keeps is the connection tokens needed to create meetings on your behalf, and those are removed as part of de-authorization.
This is your own connection
Connecting and disconnecting Zoom is per person — you only ever manage your own account, and connecting doesn't affect anyone else on your team.
