Custom fields
SalesThe built-in fields cover what Preb can know on its own. Custom fields cover what only your team knows — lead temperature, niche, ad budget, contract length, whatever your process tracks. Once defined, a custom field behaves exactly like a built-in one: it's a column you can show, filter, sort into views, edit inline, and export.
Where fields live
Custom fields are defined per object — the kind of record they attach to:
- Contacts — shown in the Contacts and Appointment Setting tables and on the contact card.
- Calls — shown in the Calls table, one value per booking.
- Deals — shown in the Deals table, one value per deal.
Fields are managed in Settings → Objects & Fields. That's an admin/owner area — every member can use the fields (see and edit values), but only admins define them.
Field types
Each field has a type, chosen when you create it:
| Type | What it holds |
|---|---|
| Short text | A single line — a niche, a nickname, an ID. |
| Long text | Multi-line notes. |
| Single select | One choice from a list of options you define, each with a colour. |
| Multi select | Several choices from your options list. |
| Number | A plain number — budget, employee count, score. |
| Date & time | A date, picked from a calendar. |
| URL | A link, shown clickable. |
| An extra email address. | |
| User | A teammate, picked from your workspace members. |
| Rating | Stars — you choose a 3-, 4-, or 5-star scale. |
The type is permanent
A field's type (and which object it belongs to) can't change after creation — existing values would stop making sense. Name, options, and colours can be edited any time. If you picked the wrong type, archive the field and create a new one.
Creating a field
Open Settings → Objects & Fields
Click Add field
Add options (select types)
Save
You can reorder fields with the up/down arrows — that order is how they appear in menus and on the card. Each object can hold up to 50 fields, a select list up to 20 options.
Filling in values
Values are edited wherever you see the field:
- In any table — hover the cell, click the pencil, set the value.
- On the contact card — the custom fields card on the right side.
Every member can edit values. Ratings are capped at the field's star scale, URLs get checked and linked, and User fields only accept actual workspace members.
Archiving & deleting
- Archive hides a field everywhere without touching data — values are kept, and Restore brings the field back exactly as it was. This is the safe way to retire a field.
- Delete is only offered when no record holds a value for the field — a field that's in use can be archived, never hard-deleted. That means deleting is always loss-free.
Form answers are separate
Answers your leads give on booking forms (the questions you built in the event type editor) are not custom fields — they're captured automatically per event type and shown read-only on the contact card and in the Objects & Fields settings under Invitee questions. Custom fields are for what your team records; form answers are what the lead said. Both are filterable and exportable in Global Data.
Syncing custom fields to HubSpot or GoHighLevel
Contact custom fields can flow into a connected HubSpot or GoHighLevel account, so what your team records in Preb shows up on the contact there too.

Map or create
Values are sent as readable text: select options send their labels, multi-selects join with commas, user fields send the teammate's name. A mapped value updates whenever the contact syncs — and immediately after you edit it inline. Clearing a value in Preb simply stops sending it (the other side keeps its last value). Calls and Deals custom fields stay in Preb — only Contact fields sync.
