Plans change. This page covers how you cancel or move a booking from inside Preb, who gets emailed when you do, and how your guests can reschedule themselves from the link in their confirmation email.

Cancelling a booking

You cancel a call from its menu on the Bookings screen.

Find the booking

Open Bookings and locate the confirmed call you want to cancel.

Open the menu

Click the menu at the end of the row and choose Cancel.

Add a reason (optional)

Type a short note for the guest in the Reason box — for example, why you're calling it off. Some event types make this required.

Confirm

Click Cancel booking. Choose Keep booking if you change your mind.

You can only cancel a confirmed call, and only if cancelling is allowed for that event type. Once cancelled, the call moves to the Cancelled tab, where its details panel records when it was cancelled and the reason you gave.

Reason may be required

Each event type decides whether a cancellation reason is mandatory. If it is and you leave the box empty, Preb will ask you to add one before it lets you finish.

Cancellation notifications

When you cancel, Preb sends a cancellation email to:

  • The main guest — letting them know the call is off, including your reason.
  • The host — a confirmation that the call was cancelled.

Co-hosts and any additional guests are not emailed about the cancellation. The call is also removed from the host's connected calendar automatically.

Rescheduling

There are two ways a call gets moved — you can do it from inside Preb, or the guest can do it themselves.

From inside Preb, choose Reschedule from a booking's menu. You'll see the current booking, a calendar, and the available time slots for that event. Pick a new day and time, then click Confirm reschedule.

The guest can reschedule themselves using the reschedule link in their original confirmation email. They pick a new time from your live availability and confirm — no need to involve you.

Either way, the result is the same: the old time is released and the call is moved to the new slot. The booking keeps a link back to the original so you can always trace the history in the details panel.

Round-robin reassignment

For team event types that rotate between hosts, if the original host isn't free at the new time, Preb can move the call to another available host in the pool automatically.

Reschedule policy & cutoff

What guests can do is controlled per event type. Open the event type and go to its Reschedule & Cancel tab. The available controls include:

  • Disable rescheduling for invitees — stop guests rescheduling at all, or only block it within a set number of minutes before the meeting starts (for example, "no reschedules within 60 minutes of the call").
  • Allow rescheduling past events — by default a guest can't reschedule a call that has already passed; turn this on to let them.
  • Disable cancelling for invitees — stop guests cancelling from the link in their email.
  • Require cancellation reason — make a reason mandatory for the host, for everyone, or no one.

A few rules always apply: a new time must still be genuinely available (it respects your schedule, notice, and buffers), and it can't be further out than your booking window allows. There's no limit on how many times a call can be rescheduled.

Host vs invitee rescheduling are separate

Turning off rescheduling "for invitees" only stops your guests. Whether your team can reschedule from inside Preb is a separate setting on the same screen, so it's possible for hosts to move a call that guests can't.

What invitees see

The main guest always gets a confirmation email when they book, and it includes their own reschedule and cancel links. (Additional guests get a confirmation too, but without those links — only the main guest can change the call.)

When a call is rescheduled, the guest receives a Rescheduled email showing the old time crossed over to the new time, the location, and fresh links in case they need to move it again. Their existing calendar invite is updated in place to the new time. When a call is cancelled, they get a Cancelled email, and the invite drops off their calendar.
