Recording call outcomes
SalesOnce a call is over, log how it went. Recording the outcome keeps your funnel reporting accurate, moves the contact along your pipeline, and — when a call closes — creates a deal and sends the revenue back to your ad platforms automatically.
Where to record
You record outcomes from the Bookings screen, on past calls only. There are two ways in, and both open the same form:
- Click the amber Outcome needed badge in a row's Outcome column — this opens the booking and jumps straight to the form.
- Click any past call to open its details panel, then use the Call outcome section at the top.
Fill in the form and click Record outcome. Afterwards the section becomes a read-only summary with an Edit link if you need to adjust the details.
The result is locked once saved
You can edit the deal details and notes later, but the headline result — Sale, No-sale, and so on — can't be changed after you save it. Pick it carefully.
The outcome form
The form starts with one question — "How did the call end?" — and the options depend on the event type's call type.
For a sales call (the default), you choose one of:
- Sale — you got paid, or have a firm written commitment.
- No sale — the call happened but didn't close.
- Disqualified — wrong fit, no real opportunity.
For a screening / discovery call, the choices are Approved or Rejected instead.
When you pick Sale, a few more fields appear so the deal is complete:
- Amount and Currency — how much the deal is worth. Currency options are EUR, USD, GBP, CHF, CAD, AUD, SEK, NOK, DKK, and PLN.
- Payment type — Won (one-time full payment), Deposit (partial, balance later), or Recurring (subscription).
- Product / offer sold — an optional label for what they bought.
Every outcome can also capture an optional main objection, a reason (on a no-sale), free-text objections, and notes — useful context for your own records and your team.
Call type sets the wording
Whether a call shows Sale/No-sale or Approved/Rejected is decided by the Call type on its event type (sales call vs discovery call). Both still expect an outcome — only the labels differ, and only a sales call's Sale can create a deal.
Auto-created deals
When you record a Sale, Preb creates a deal for you in the same step — there's no separate form to fill in. The deal is linked to the contact and the booking, and carries the amount, currency, payment type, and product you entered, marked as closed right now.
A recorded Sale also:
- Moves the contact's stage forward to your first "won" stage (a no-sale or disqualified result moves it to a "lost" stage instead — except when you mark a no-sale as "follow-up scheduled," which leaves the stage alone). You can always override the stage manually.
- Sends the revenue back to your ad platforms. A purchase signal goes to Meta and Google Ads, tied to the ad click that originally brought the lead in, so you can see which campaigns produce real deals. Preb makes sure this only fires once per deal.
You'll see the new deal on the contact's record under Deals, and a confirmation toast shows the amount along with a View contact shortcut.
Discovery calls never create a deal
Only a Sale on a sales call creates a deal and sends a purchase signal. A discovery call's Approved/Rejected result is recorded for your funnel but never produces a deal or revenue event.
Outcome reminders
So nothing slips through, Preb nudges you in three ways when a past call still has no outcome:
- In the list — an amber Outcome needed badge sits on the call until you log a result.
- As a filter — the Outcome needed toggle on the Past tab narrows the list to just the calls still waiting, so you can clear them in a batch.
- By email — about a day after a call, if its outcome still isn't recorded, Preb can email the host a "How did your call go?" reminder with a link straight to the form.
The reminder email is controlled by a per-workspace setting. To turn it off, go to Settings → General, find the Notifications section, and switch off Outcome reminder emails — the in-app badge and filter stay either way.
What happens after a Discovery call is Approved
When the event type has the follow-up invitation switched on, approving a Discovery call lets you pick the possible closers and decide the next step:
- Send the invitation link by email (default) — the lead receives an email to book the follow-up event with the closers you selected.
- Book the appointment now — the closer's availability appears inline; agree on a time with the lead and record the outcome, and the follow-up is booked in the same step. The lead gets the booking confirmation instead of an invitation. See Booking on behalf of a lead.
- Don't send the follow-up email — record the outcome only.
