Booking form & questions
SalesMarketingThe booking form is what people fill in when they book you. You control which details you collect and what you ask — from a simple name and email to qualifying questions that help you prepare. You set all of this on the Form screen of the event-type editor.
The two booking steps
Preb's booking page has two steps — the form and the calendar — and the form fields are split across them:
- The details. The visitor enters their contact info and answers your questions. By default this comes first, before they pick a time — which lets Preb qualify and route the lead before showing the calendar.
- Picking a time. The calendar and time slots, plus an optional note and a place to add guests.
You can flip the order
By default the details come first. If you'd rather invitees pick a time first and fill out the form afterward, switch the event type to Time first on the Appearance screen. See Appearance & step order.
On the Form screen, the questions you build are organized as Primary questions (the core contact fields) and Secondary questions (your custom questions). On a one-page form the secondary questions appear once the primary fields are filled in; with a multi-step form you decide which questions sit on which step (see below).
Multi-step forms
Funnels convert better when they ask one or two things at a time. Under Form structure on the Form screen, switch from One page to Multiple steps and the question list turns into step cards:
- Steps. Drag questions between steps, add steps, and move a step up or down. Each step can carry an optional title and description (e.g. "Tell us about your business"), and under Advanced its own button label and auto-advance setting. Deleting a step hands its questions to the neighbouring step — nothing is lost.
- Contact details first or last. The contact details (email, phone, name) are always their own step. Ask for them first (the default) or last, right before the calendar — asking last lowers the hurdle for cold traffic. Either way the lead is saved the moment a valid email or phone number is entered.
- Progress. With Show progress on you choose what the widget header displays: Normal keeps the usual two-step display (form and calendar), while Bar and Dots fill up across every step including the calendar, so invitees can see how much is left at a glance. The bar and dots carry no text — the header stays quiet and the step's own heading leads. Switch Show progress off and the header stays bare. Only ever one indicator is shown.
- Back and validation. Invitees can go Back at any point without losing an answer, and each step validates only its own fields.
- Continue automatically on single choice. A step with exactly one single-choice question (radio buttons or a dropdown) continues as soon as an answer is picked. Turn it on for the whole form and override it per step.
- Disqualify early. Your disqualification rules are checked after every step, so an unqualified lead exits right after the answer that disqualifies them instead of answering everything. Rules that need answers from several steps apply as soon as all of them are answered; everything is checked again on the final submit. With contact details last, a lead who exits before entering them is simply never saved.
- Intro text. An optional line above the first step ("Just a few short questions — takes about a minute.").
Click a step card and the preview on the right jumps to that step. Existing event types keep their one-page form until you switch — nothing changes on its own.
Reuse a form: templates
Build the form once and save it as a workspace form template — see Form templates. Applying a template copies it into the event type; later edits in the event never change the template.
When answers are saved
By default, a visitor's details are saved — and a contact is created — when they submit the form step. Nothing is stored while they're still typing.
Per event type, you can capture leads earlier: turn off "Require submission before saving lead data" on the Privacy & Compliance screen, and details are saved as the visitor types, even if they never submit — so you can follow up with people who drop off mid-form. When this is active, the booking page shows a visible notice next to the form ("Your details are saved as you type…"), so visitors are never captured silently — that notice is also what keeps the feature compliant with EU privacy law, so make sure your own privacy policy covers collecting details from unsubmitted forms.
Unfinished leads captured this way are automatically deleted after 30 days unless they book, get a deal or note, or are synced to your CRM — see Data & privacy for the retention details and the workspace-level controls.
Standard fields (name, email, phone)
Every booking form includes these built-in fields:
- Email address — shown and required by default. You can also set it to Optional, or turn it Off entirely for phone-first funnels (see below).
- Full name — always shown and required. Tick Split full name into first and last name to collect them as two separate fields.
- Phone number — off by default. Click Ask for phone number to add it, then set it Optional or Required.
- Additional notes — a free-text "anything you'd like the host to know" box on the confirm step.
Phone-first booking (email optional or off)
Some teams work leads over the phone and don't want to ask for an email at all. On the email field, switch between Required (the default), Optional, and Off:
- The moment email is Optional or Off, the phone number becomes the primary field: it moves to the top of the form, is always required, and takes over the attention highlight. Preb locks the phone field for you — it can't be removed or made optional while email is demoted — so every booking always carries at least one way to reach the invitee.
- A booking made without an email gets no confirmation or reminder emails (there is nowhere to send them). The confirmation screen still shows all details, and if you enabled text notifications and the invitee gave SMS consent, they receive their confirmation — including reschedule and cancel links — by SMS.
- Phone-only leads are identified by their phone number in your Pipeline instead of an email. If the same person later books with an email address, Preb recognizes the phone and upgrades the existing contact instead of creating a duplicate.
Some locations add their own field
If the invitee picks Phone Call as the location, the phone field is switched on and required automatically — Preb needs a number to call. If they pick In Person (Attendee Address), a required address field appears the same way. These fields belong to the location, so they show only when that location is the one being booked.
Custom questions
Beyond the standard fields, you can add your own questions to qualify or prepare for each call. Under Secondary questions, click Add new question. For each one you set:
- A Question label — what the invitee reads, e.g. "What's your monthly ad budget?"
- A type (see below).
- Whether it's Required.
- Any type-specific options (choices, number limits, and so on).
Questions can be dragged to reorder, and you can add up to 50. The answers become part of the booking and can feed your qualification and routing rules.
Field types
Choose the type that fits the answer you want:

| Currency amount | A money figure, in USD, EUR, GBP, CAD, or AUD. |
For the dropdown and radio types, enter your choices one per line in the options box. For a number, you can set a Min and Max.
Required fields & validation
Mark any custom question Required to stop the booking until it's answered. Preb also checks answers for you:
- Required questions must be filled in.
- Number answers must be valid numbers and fall within any min/max you set.
- Phone answers must look like phone numbers.
These checks run both in the visitor's browser and on Preb's servers, so the rules can't be skipped by anyone trying to bypass the form.
Business-email & blocked domains
To keep out personal-email sign-ups, tick Only allow business email addresses on the Form screen. Bookings from free providers — Gmail, Outlook, iCloud, Yahoo, and around thirty others — are blocked, and the visitor is asked to use their work email.
Two different controls
Only allow business email addresses blocks all free/personal providers in one switch. If instead you want to block specific individual addresses or one particular domain, use Block specific email addresses on the Privacy & Compliance screen.
Additional guests
On the confirm step, invitees can add extra attendees by entering their email addresses in the Add guests box. Those people are added to the meeting and the calendar invite, so a prospect can loop in a colleague without booking a second time.
Prefilling via URL
You can pre-fill the form so returning or known contacts don't have to retype their details. This is most useful when you embed the booking page on your own website or send a personalized link.
- When the booking page is embedded on your site, you can pass a visitor's name, email, and phone so the form arrives already filled in (turned on with Pre-fill from the page URL on the Embed screen).
- If every required detail is already provided this way, the visitor sees a Skip to calendar shortcut and goes straight to picking a time.
