Members without a calendar
SalesMarketingA connected calendar is what lets Preb see when a teammate is busy and add bookings to their day. When someone on your team hasn't connected one — or disconnects it later — Preb can't protect their time, so they may get double-booked, and their bookings won't appear on any calendar.
This page covers the workspace setting that decides how Preb handles those teammates, how to spot who's missing a calendar, and how to nudge them to connect one — all from the Teams page.
The fix is always the same
Whatever you choose here, the real fix is for each teammate to connect a calendar. See Connect your calendar — it takes about a minute.
The booking setting
Under Settings → Bookings, the toggle "Allow booking members without a connected calendar" decides what happens when a host has no calendar. It's available to Owners and Admins and applies to the whole workspace.
| Setting | What it means |
|---|---|
| On (default) | Teammates without a calendar can still be booked. Preb can't see their outside events, so they may be double-booked. This keeps things exactly as before. |
| Off | Teammates without a calendar are hidden from bookers and won't receive any bookings until they connect one. No calendar, no double-bookings. |
Turning this off can hide hosts
When you switch this off, any host who hasn't connected a calendar stops receiving bookings straight away. On a solo event that means the page shows no available times at all. Make sure your team has connected their calendars first — the reminder below helps.
Open Settings
Find the Bookings section
Set the toggle
Spot who's missing a calendar
Preb flags this for you in a few places, so you're never guessing:
- On the Teams page — any member without a connected calendar shows a No calendar badge next to their name (Owners and Admins only). When the setting above is off, the badge reads No calendar — not bookable.
- On your dashboard — a banner appears if you haven't connected a calendar, and Owners see a summary banner counting teammates who haven't. The wording adapts to your setting: either "may be double-booked" or "won't receive bookings until they connect one."
- On an event's Hosts screen — each selected host without a calendar carries a warning badge, and when booking is blocked you'll also see a callout naming who won't receive bookings, with a one-click reminder.
Send a reminder
You can nudge teammates to connect a calendar straight from the Teams page — no need to chase them over chat.
Remind one person:
Open Teams
Open their menu
Send the reminder
Remind everyone at once: when one or more teammates are missing a calendar, a Remind N missing button appears at the top of the Teams page. One click emails all of them.
Send as many as you need
There's no daily limit — send another reminder whenever you like. Reminders are only ever sent to your own workspace members.
What happens to bookings when the setting is off
When "Allow booking members without a connected calendar" is off, here's how each kind of event behaves for a host who has no calendar — see Scheduling types for the full picture:
- Conversion Routing (round-robin). The host is simply skipped — bookings still flow to the rest of your team, so calls keep landing. If they were the only host on the event, the page shows no available times until they connect.
- Collective (everyone attends). Because every selected host is required, one missing calendar pauses the whole event until that host connects — otherwise you'd be promising a meeting a required attendee can't safely take.
- Solo (single host). The event shows no available times until you connect a calendar.
- Reschedules. A booking can't be moved onto a host who currently can't be booked; you'll be asked to pick another time or host.
When a host disconnects later
This isn't only about new teammates. Anyone can disconnect a calendar (or a connection can expire) on an event they're already a host of. If that happens while the setting is off, they quietly stop receiving new bookings on that event. Preb keeps them assigned — it never silently removes them — but the No calendar badge and the Hosts-screen callout make it obvious, so you can send a reminder or connect a calendar to bring them back.
