Booking on behalf of a lead
SalesSometimes the fastest way to the next call is to book it right there on the phone. Manual booking lets any team member create a booking for a lead — picking the event type, the host and a genuinely free time — without sending the lead a link and hoping they use it. The lead receives the normal confirmation email (and SMS where enabled), every reminder of that event type, and the call lands in the host's calendar and your CRM exactly like a self-serve booking.
Where you can book for a lead
- Bookings → New booking — the general entry point. Pick or create the lead, choose an event type, a host and a time.
- Recording a Discovery outcome → Book the appointment now — when a screening call is Approved, book the follow-up with the closer while the lead is still on the line, in the same step as recording the outcome.
- Global Data → Setting → Book the appointment now — after approving a lead in the setting queue, book straight from the side panel instead of sharing a link.
All three open the same booking composer, so the rules below apply everywhere.
Picking the lead
Start typing a name, email or phone number. Preb searches your contacts first; when GoHighLevel, HubSpot or Pipedrive is connected, matching records from that CRM appear underneath with a provider badge.
- Choosing a Preb contact books for that person.
- Choosing a CRM record imports it into Preb when you book (linked to the CRM record, so the sync recognises it) — unless Preb already knows the same person by email or phone, in which case that existing contact is used.
- If nothing matches, use Create "…" as a new contact and fill in the name plus an email or phone number. The event type decides which of the two is required, just like on the booking page.
Disqualified leads can still be booked
A contact marked Disqualified shows a badge in the picker. Booking them is a deliberate operator decision — the booking goes ahead and the contact moves to the booked status.
Choosing the host and time
For a round-robin event type you can leave the host on Automatic — round robin, routing rules and owner assignments then decide exactly as they would for the booking link — or pin one or more hosts with the avatar chips. The calendar only offers days and times that are genuinely free for the chosen host(s): schedules, buffers, calendar busy time and routing rules are all applied, and the time is checked again the moment you book. A double booking is not possible.
The time picker uses your timezone by default; switch it to the lead's timezone if you are agreeing on a time with them.
Booking limits and questions
Per-lead booking limits and the "business email only" rule do not apply to bookings you create yourself — you are the one deciding. The event's booking questions are available under More details and are optional for you; whatever you fill in is saved with the booking.
Consent and SMS
If the event type requires consent, you must confirm that the lead agreed to the consent text on the phone before you can book. The booking records that consent as attested by you, together with the wording shown. An SMS opt-in checkbox appears when the event sends text reminders and the lead has a phone number.
What happens after you book
- The lead gets the confirmation email (and SMS where enabled) in the language you selected, plus every reminder of the event type.
- The host gets their confirmation and the calendar event, including the meeting link where one is minted.
- Connected CRMs receive the booking like any other, and Slack notifications fire as configured.
- The booking shows Booked by with your name in its details, and the audit log records who created it.
Booking the follow-up during a Discovery call
When you record a Discovery outcome as Approved, the follow-up section offers three next steps: send the invitation link by email (the default), book the appointment now, or send nothing. Choosing to book now shows the closer's availability inline; pick the time with the lead and record the outcome — both are saved together. If the time is taken in the meantime, nothing is recorded and you simply pick another time. The invitation email is not sent in this case; the lead receives the booking confirmation instead.
