Every call has one host who owns it, but sometimes you need to hand it to someone else or bring extra people in. This page covers reassigning the host and adding co-hosts, and exactly who gets notified when you do.

Assigned host vs co-hosts

Preb keeps a clear distinction:

The assigned host is the single person who owns the call. They're the host the guest sees, and the call lives on their connected calendar. There's always exactly one.
Co-hosts are extra team members you add to help run the call. They're added to the calendar invite so the meeting lands on their calendars too, but they don't replace the assigned host.

The same person can't be both at once — if you make a co-host the new assigned host, they simply move over.

Reassigning the host

You change the host from the Manage hosts dialog.

Open Manage hosts

On the Bookings screen, open a call's ⋯ menu and choose Manage hosts.

Pick the new host

Under Assigned host, choose a different workspace member from the dropdown.

Save

Click Save changes.

You can only reassign confirmed, upcoming calls, and the new host has to be a member of your workspace.

Busy is a warning, not a block

If the member you pick already has another booking at that time, Preb flags them as busy with a warning — but it still lets you assign them. The choice is yours.

Adding co-hosts

In the same Manage hosts dialog, the Additional hosts section lists your other workspace members. Tick anyone you want to add as a co-host, untick to remove them, then Save changes. You can add up to 20 co-hosts to a call.

Who gets notified

This is the important part, and Preb keeps it simple:

Reassigning the host emails three people: the previous host (you're no longer hosting), the new host (you're now hosting), and the guest (your host has changed).
Adding or removing a co-host emails only that co-host. The guest is not notified.

In short: the guest only ever hears about it when the assigned host changes — never for co-host changes. Hosts and co-hosts are always told about changes that affect them.

Quiet co-host changes

Because the guest isn't notified, you can adjust co-hosts freely right up to the call without worrying about confusing the guest with extra emails.

Calendar effects

Preb keeps the connected calendars in sync for you:

When you reassign the host, the call is removed from the old host's calendar and a fresh event is created on the new host's calendar. If the meeting uses Google Meet or Microsoft Teams, a new join link is generated and included in the guest's "host changed" email.
When you add or remove co-hosts, they're added to (or removed from) the host's existing calendar event as attendees, so the meeting appears on their own calendars.

All of this happens behind the scenes. Calendar providers don't send their own notifications for these changes — Preb sends its own clear emails (above) instead, so people aren't double-pinged.
