Every contact carries two separate labels: a scheduling status that Preb sets for you automatically, and a stage in a pipeline you design yourself. They answer different questions — keep them distinct and your pipeline stays clean.

Scheduling status (automatic)

The scheduling status tracks where a contact sits in your booking funnel. Preb sets it for you as people move through the form and book calls — you can't edit it by hand, and that's deliberate: it always reflects what actually happened.

Why you can't change it

Because the scheduling status is driven entirely by your funnel, there's no manual override. If you want a label you control, that's what stages are for.

Contact stages (configurable)

Stages are your pipeline — the steps a deal moves through in your own words. Unlike the scheduling status, you decide what the stages are and you move contacts between them by hand.

Every workspace starts with six built-in stages:

New contacts land in New by default. You're free to rename these, add your own (like "Proposal sent"), or remove the ones you don't use.

Active / Won / Lost

Every stage belongs to one of three groups, which is how Preb knows whether a contact is still in play, closed successfully, or lost:

  • Active — still working the deal.
  • Won — closed successfully.
  • Lost — didn't close (including no-shows).

The group is a property of the stage, not the contact — so any contact sitting in a "Won" stage counts as won. Stages are colour-coded by group (blue for Active, green for Won, grey for Lost) so you can scan the pipeline at a glance.

Moving contacts between stages

There are three ways to change a contact's stage, and they all do the same thing:

  • On the contact card — pick a new stage from the Stage dropdown in the Status & owners panel. The options are grouped by Active / Won / Lost, plus a No stage option to clear it.
  • In any Global Data table — hover the Stage cell, click the pencil, pick the stage. You can also tick several contacts and use Set stage in the toolbar to move up to 200 at once.
  • On a Kanban board — drag the contact's card into another column.

Any team member can move a contact between stages — you don't need to be an admin.

Outcomes can move stages for you

When you record a call outcome, Preb nudges the stage for you — a Sale moves the contact to your first Won stage, a Disqualified to your first Lost stage. You can always move it back by hand afterward. See Call outcomes.

Managing your stages

Stages are configured in Settings → Contact stages. This is an admin/owner area — regular members can use stages but can't redefine them.

From there you can:

Add a stage

Give it a name and choose its group (Active, Won, or Lost).

Rename a stage

Click the pencil icon to relabel it.

Reorder stages

Use the up/down arrows to change the order within a group.

Move it to another group

Switch a stage between Active, Won, and Lost.

Set the default

Star a stage to make it where new contacts start.

Archive a stage

Remove one you no longer need — contacts keep their history and simply show no stage.

There's also a Reset to default option that restores the original six stages. Archiving or removing a stage never deletes contacts — they just become unassigned.
